Transcription
Accurate
Transcription customizes services to meet the need
for an integrated transcription solution while
utilizing the cost savings of out-sourcing. Our
clients can choose from an array of services,
depending on their individual need, which include
anything from the basic option of transcription with
online web delivery to full secretarial service with
printing on customized medical record forms and/or
on letterhead and envelopes, as well as making
copies with delivery of the printed reports to the
physician for signature in a form ready to mail.
Decreased
Dependence on In-House Secretarial Staff
By out-sourcing
transcription, physicians can decrease dependence on
in-house secretarial support. This lowers overhead
associated with secretarial salaries, benefit
packages, vacation, sick leave, office space,
equipment, and other employee-related expenses.
Transcription by trained professionals allows for
the ability to absorb increased report volume as
clinical services and patient volume increases
without increasing in-house staff and overhead.
 Accurate
Reports
Accuracy of reports
is one of our primary concerns. The time physicians
and support staff spend correcting reports leads to
higher cost and time taken away from their primary
duties, as well as effecting overall patient care.
We offer a team of proofreaders with an average of
15+ years plus experience. Each is available to
proofread and answer any questions regarding
reports. Our transcriptionists have an average of
15+ years medical transcription experience.
By policy, our
transcriptionists do not guess if there is a
question of terminology. These questions are passed
to senior proofreaders for further review. We
transcribe some of the most difficult physician
notes in terms of terminology and lack of physician
elocution with an average of less than one blank per
300 reports due to inability to hear or understand
the physician.
 Flexibility
in Dictation Options
Most of our
physicians use our telephone call-in systems. For
those physicians who prefer a handheld device, we
offer a digital handheld solution. We recommend the
Olympus digital recorders which are compatible with
our uploader software. The uploader software
transfers the wave files to our servers via secure
HIPAA compliant internet connection. Other brands of
digital recorders are currently not compatible with
the uploader, but can be transferred via secure FTP
website.
Report
Delivery Options
Each physician and/or
clinic may have varying report delivery needs. We
offer the following delivery methods.

secure HIPAA compliant website
• Printed customized
reports delivered via courier
 Rapid
Turnaround Time
Current turnaround
time is 24 hours for E-mail, fax, and other
electronically delivered options. Printed report
delivery is available during normal office hours –
8:30 AM to 5:00 PM, Monday through Friday.
Turnaround time for printed report delivery varies
depending on location.
Secure website
download delivery is 24 hours or less. As soon as
the report is marked completed by Transcription
and/or Quality Control, the report is available to
the physician and/or authorized staff representative
on the secure website. This website is available
24/7.
Custom
Formatting
Custom formatting is
available for all reports, regardless of delivery
method. Reports can be designed to fit pre-printed
forms and/or letterhead.
Customer Support
We view our
relationship with our clients as a partnership in
creating a part of the medical record of patients.
Our friendly, helpful support staff is here for you.
We will teach physicians and staff the use of
software dictation systems, report delivery, and
website access at no extra cost.
